Learn how to apostille a notarized document in NYC, from notarization and County Clerk authentication to New York apostille courier service.

If you need to use an official document outside the United States, getting it notarized may only be the first step. Depending on the document and the country where it will be used, you may also need County Clerk authentication followed by an apostille from the New York Department of State.

You can complete these steps yourself, but you don't necessarily have to. What is an apostille?

An apostille is a form of authentication used for certain public documents that will be presented in another country participating in the Hague Apostille Convention.

New York State only authenticates eligible public documents issued in New York that bear the signature of an appropriate New York official or County Clerk.

An apostille does not certify that the information inside your document is true. Instead, it authenticates the signature or seal of the public official connected with the document.

Which notarized documents may need an apostille?

Many privately executed documents may need to be notarized before they can move through the New York apostille process.

Common examples may include:

• Powers of attorney

• Affidavits

• Sworn statements

• Authorization letters

• Certain business documents

• Translations accompanied by a notarized translator affidavit

• Certain educational documents

• Other privately signed legal or personal documents

For example, the New York Department of State specifically instructs applicants seeking authentication of documents such as a power of attorney to obtain a notarized document before proceeding. Educational documents may also require a school official's certification followed by notarization of that official's signature.

Step 1: Confirm where the document will be used

Before doing anything else, confirm the country where your document will be presented.

This matters because an apostille generally applies when the destination country participates in the 1961 Hague Apostille Convention. If the destination country does not participate in the convention, New York may instead issue a Certificate of Authentication, and additional authentication or legalization could be required afterward.

Always confirm the receiving organization's requirements before beginning the process.

Step 2: Make sure your document is ready for notarization

If your document needs to be notarized, make sure it is complete and ready before meeting with a notary.

You should generally have:

• The complete document

• Valid government-issued identification

• Any required witnesses

• Instructions provided by the organization receiving the document

• Information about the country where the document will ultimately be used

Do not make assumptions about the type of notarization required. An acknowledgment and a jurat serve different purposes, and the person or organization requesting the document should tell you what type of notarial act is needed.

Step 3: Have the document properly notarized

Once the document is ready, the required notarization can be completed.

Step 4: Complete County Clerk authentication when required

This is one of the most important steps for notarized New York documents.

According to the New York Department of State, notarized documents must be certified by the County Clerk of the county where the notary is certified to notarize before they are submitted for apostille processing.

County Clerk authentication verifies the notary's signature and authority. It is not the apostille itself.

For example, the New York County Clerk can authenticate documents notarized by a notary qualified in New York County or whose signature has been filed with that office. After authentication, the document is ready to proceed to the apostille stage.

The New York County Clerk also specifically states that its Notary Department does not forward authenticated documents to the New York Department of State for apostille certification.

That means there is still another step after County Clerk authentication.

Step 5: Submit the authenticated document to the New York Department of State

Once any required County Clerk authentication has been completed, the document can proceed to the New York Department of State.

The Department of State is the government agency that actually issues the New York apostille or Certificate of Authentication. It currently accepts eligible requests through mail and walk-in service at designated locations.

Step 6: Receive the completed apostilled document

After the New York Department of State completes its processing, the apostille is attached to the document.

The completed document can then be returned according to the delivery arrangement being used.

At that point, it should be ready for presentation abroad, assuming all requirements of the receiving country, agency, consulate, court or other organization have been satisfied.

Because international document requirements vary, you should always confirm what the recipient expects before submitting the document.

Instead of taking the notarized document back and making the remaining trips yourself, you can ask me to handle the courier portion of the process.

This creates a more seamless transition from mobile notarization to apostille processing.

4. I handle the applicable County Clerk authentication

When County Clerk certification is required, I can transport the eligible document for the applicable authentication step.

This is the intermediate stage that many people do not realize exists until after their document has already been notarized.

5. I handle the apostille submission

After the necessary preliminary authentication has been completed, I can continue the courier process to the New York Department of State for apostille processing.

The apostille itself is issued by the New York Department of State, not by Long Island City Mobile Notary Services.

My role is to provide the notary service when required and handle the eligible document pickup, transportation and submission logistics associated with the apostille process.

6. Your completed document is returned

Once government processing has been completed, your document can be returned according to the arrangements made when you schedule service.

The result is a much more convenient process than personally navigating each government-office step.

Do I have to get the apostille myself after my document is notarized?

No. You can certainly complete the County Clerk and New York Department of State steps yourself, but you do not have to personally handle every trip.
